Creative Operations Coordinator

The Opportunity

Byredo is seeking a highly organized and proactive Creative Operations Coordinator to join our Creative Studio in Stockholm. This is a fixed-term contract starting as soon as possible and running until December 31 2026, with the possibility of extension.

In this role, you will support the operational and coordination needs of the creative studio, working closely with the Image Production, Art Direction, and Graphic Design teams.

Reporting to the Head of Creative Operations, you will play an important role in supporting the operational planning, coordination, and execution of creative productions and studio initiatives. You will help manage and maintain operational workflows, coordinate production logistics, oversee operational workflows, and support the Creative Studio in delivering high-quality creative content across Byredo’s communication channels.

This role requires strong organizational skills, attention to detail, and the ability to collaborate across multiple teams and stakeholders in a fast-paced creative environment.

What you'll get to do

Creative Studio Operations

  • Support the Head of Creative Operations in the day-to-day coordination and operational planning of the Creative Studio
  • Assist in maintaining and updating yearly production schedules, coordinating with internal teams to track project status and ensure alignment across teams and departments
  • Provide operational and coordination support across the Creative Studio, including Image Production, Art Direction, and Graphic Design teams

Production Coordination

  • Assist and support with coordination tasks across shoot productions
  • Coordinate and manage E-commerce product shoots, including aligning with Marketing teams on content needs and timelines, coordinating product and sample deliveries, and supporting pre- and post-production processes

Asset Coordination

  • Track and coordinate the delivery of final imagery and assets into and out of the Creative Studio
  • Ensure proper organization and archiving of production files and assets
  • Coordinate and track campaign and content usage rights

Vendor & Financial Administration

  • Manage vendor creation, purchase order (PO) setup, and invoice processing
  • Track and coordinate the status of legal documentation and agreements between internal teams and external vendors

Logistics & Studio Support

  • Plan and coordinate travel arrangements related to creative productions and studio initiatives
  • Coordinate studio-related logistics, including scheduling meetings and supporting production workflows
  • Provide coordination support related to freelancers, productions, and operational planning within the Creative Studio

Requirements

  • Strong organizational and coordination skills with the ability to manage multiple tasks and timelines simultaneously.
  • Excellent communication and interpersonal skills for working with internal teams and external partners.
  • High attention to detail and a structured approach to operational processes.
  • Ability to work independently while contributing effectively within a collaborative environment.
  • Flexibility to adapt to shifting priorities and fast-paced timelines.
  • Proficiency in Microsoft Office.
  • Experience working with creative production workflows or studio environments is considered a plus.

  • A proactive and solution-oriented mindset, with the ability to take initiative and approach tasks with a positive, hands-on attitude.
  • Naturally curious with a strong willingness to learn and develop an understanding of creative production processes.
  • A strong sense of ownership and willingness to contribute wherever needed in a collaborative team environment.
  • Interest in creative fields such as Image Production, Art Direction, Graphic Design, Photography, or Art is a strong advantage.
  • Prior experience in these fields is not required, but an appreciation for creative processes and visual storytelling is beneficial.
