Finance & Administration Manager, China

 

Location: Shanghai

 

Mission:

This role reports hierarchically into the Finance Director for Asia Pacific, and functionally into the General Manager of the China business unit. The position supports the local finance operations and reporting of Puig China. The role will be involved in providing financial information to enable and monitor operational decisions to develop Puig brands, achieve net revenues, profit and working capital objectives budgeted, while remaining in compliance with statutory operating requirements.

 

Functions and Responsibilities:

 

Budgeting

  • Lead the preparation of Annual Budgets, Rolling Forecast and Estimates for the China business unit.
  • Develop, review and monitor the budget of the entity.
  • Control and reporting of variances and operating expenses against budget.

 

Financial Reporting and Analysis (Standard and Ad Hoc)

  • Coordinate and supervise with external finance provider the month-end and year-end closing including production of Profit and Loss, Balance Sheet and Cash Flow statements.
  • Coordinate with external finance provider to ensure that all local statutory reporting is filed on time including Sales tax, annual returns, corporate tax, etc.
  • Strong business partnership with counterparts (GM, HR, sales and marketing) to ensure Profit and Loss reflects accurately the reality of the business unit.
  • Submission of weekly sales estimate for the business unit with analysis of variances compared to budget and previous year.
  • Strong control of the retail business with focus on the profitability and results by door.
  • Strong control of the cash flow evolution and projection to ensure the company is sufficiently funded to sustain the growth.
  • Prepare accounting results in accordance to Puig accounting standards and submission to Puig Asia Pacific for consolidation.
  • Provide regional and local management with appropriate weekly, monthly and ad-hoc management reports as required.
  • Liaise with Puig APAC/Corporate Legal on all corporate secretarial matters.

 

Accounting

  • Manage staff expense reports and check against Travel and Expenses policy, system and facilitate reimbursements in coordination with external finance provider.
  • Update managers on YTD travel budgets.
  • Manage petty cash.
  • Create quarterly in-advance Service fee billings to HQ and make year-end adjustments as required.

 

Control and Audit

  • Guarantor of the compliance of Group policies and standards at local level.
  • Assist Finance Director in reviewing and establishing Policies, Standard Operating Procedures and ensure compliance to the Group policies.
  • Comply with Corporate Tax and GST local regulation in coordination with external finance provider.
  • Support internal and external audit process and follow up on the action plans agreed with the auditors.

 

Administration

  • Provide administrative support to the team in China and support the growth of the team in terms of office space, IT requirements and facilities.

 

 

Requirements:                                  

  • Experience: 8-10 years of relevant experience with at least 2 years in a similar position. Preferred background from Consumer Goods, Luxury Goods, Travel Retail or FMCG.
  • Education: Degree preferably in Finance and Accounting, Business Administration or Economics.
  • Languages: English and Mandarin. Spanish is a plus.
  • Skills and Knowledge:
  • Sound working knowledge of management accounting, budgeting and financial accounting principles/policies
  • Strong in preparation of finance reports and understanding of reporting requirements
  • Strong analytical skills with ability to build business models
  • Good working knowledge of:
    • SAP
    • Advanced MS Excel, PowerPoint and Word knowledge is a must
  • Excellent interpersonal skills, ability to work well with people across different levels
