Mission:  The GM Assistant will be responsible for directly assisting the General Manager to drive overall success for the daily tasks. This person will manage a variety of tasks that provide critical support in helping the General Manager and the leadership Team (Marketing, Retail, Commercial, Finance & HR) to work effectively. This role will be administrative and will include projects that support the execution of the Puig business.

•    Arrange travel and manage calendar/appointment organization for General Manager.
•    Organize CoDir Meeting calendar.
•    Order refreshments for meetings, ensure gratis on hand, secure any handouts that may be needed, assist in set up and clean-up of room.
•    Create and update shared files as needed.
•    Assist with ad-hoc projects including the production of documents, reports and presentations.
•    Assist with new hire set ups i.e. supplies, business cards, building ID & necessary equipment.
•    Maintain retailer contact list and general information.
•    Coordinate and set up National Sales meeting. Including coordinating travel of field, scouting appropriate venues, coordinate and set up of meals and all other aspects of meeting.

•    Keeping notes during key meetings and ensuring following for next steps.

•    HR Support: (Onboarding for new hires, update corporate directory with new hires/resignation).

•    First point of contact from externals stakeholders for GM.

•    Support GM on his/her personal commitments/duties on a needed basis.

•    Bachelor’s degree
•    Minimum 2 years’ experience
•    Proficient in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word)
•    Acts with integrity in accordance to company guidelines..

•    High discretion and confidential information managing

•    Business acumen, problem solving and proactive attitude
•    Demonstrates learning agility by grasping new concepts quickly, understanding how to prioritize and organize on a number of different levels.
•    Passionate about beauty and sales.
•    Driven to learn and grow within the function, while carrying out necessary support tasks to help the larger team succeed.
•    Strong communicator in all forms – verbal, written, etc.
•    Strong follow up and follow through with keen attention to detail to ensure deadlines are met.
•    Proficient English language needed
